Collaborators
For people invited into someone else's project: co-writers, editors, beta readers, viewers, and readers with a read-only link. What each role can do, how to get in and how to give feedback.
Someone has let you into their project. You read the same draft they are writing, always the latest one, and depending on your role you comment on it, react to it, suggest changes or write in it beside them. No file is sent back and forth.

Someone with a project role who isn't a member of its workspace is a guest there. The trail above a note shows Read only for a viewer and Can comment for a commenter.
Set up
Accepting a workspace invitation
- Open the link in the email, "Name invited you to Workspace on Plotra". It is good for 48 hours.
- Sign in, or choose Create an account on the sign-in page. You are brought back to the invitation.
- On the page titled Join Workspace, press Accept and join.
You must be signed in with the address the invitation was sent to. Otherwise the page says Invitation not available: ask for a new invitation to the address you use. See Accepting an invitation.
Opening a shared project
- Open the link in the email, "Name shared “Project” with you on Plotra".
- Sign in or create an account with the address it was sent to. The project opens, and from then on the access belongs to your account.
If you see This was shared with a different address, sign in with that address or ask for the project to be shared with the one you use. See Opening a shared project.
Finding it again
Projects from workspaces you don't belong to are on your Shared with you page, each with the workspace it lives in and your role. With no workspace of your own, that page is where Plotra opens. If you have one, a Shared with you link appears on its home page.
Typical workflow
- Read. Click a note in the binder, or open the Read view to see a folder laid out as pages. Every view is open to you, whatever your role.
- Comment on a passage. Select the text and click Comment beside it, or press
⌘⌥M. Write, then press⌘↵. With nothing selected the comment is on the whole note. See Comments. - Follow the threads. Comments are in the inspector under Review → Comments. Reply adds to a thread, and anyone who can comment can Resolve or Reopen one.
- React. If the project has the Review & editorial module on, selecting text also offers six one-click reactions, from "Loved it" to "Bored". Click your own reaction again to take it back. See Reactions.
- Answer a questionnaire. Open Reviews from More in the ribbon and go to the Questionnaires tab. Press Answer, fill in what you want to, and press Send answers. You can change your answers while it is open. See Questionnaires.
- Suggest a change (editors and members). Press
⌘⇧Eto turn on suggesting. What you type is marked as an insertion and what you delete as a deletion, until someone who can edit accepts or rejects it. See Suggestions. - Write beside the author (editors and members). Open the same note and type. You see each other's cursors, and text from both of you is merged. See Writing at the same time.
- Review, if you are asked (members). A note waiting for your approval is under Reviews → Inbox → Waiting for you. Press Approve, or Request changes and say what needs to change. See Giving a review.
- Stay informed. The bell lists replies to threads you took part in, and Your settings decides what is also emailed. See Notifications.

Reading through a read-only link
A link that starts with /p/ opens a plain reading page without an account: the binder on the left and the selected note on the right. You see every note with its text, tags and properties, and links between notes work. Canvases, timelines and dialogues are listed but not shown. There are no comments, no search and no views, and you can't comment, edit or export. If the link is switched off or reset, it stops working at once. See A read-only link.

Things to know
- You see the whole project. There are no permissions on single notes, so a viewer or a beta reader can open everything, including notes the story has not revealed yet. You can set a spoiler horizon for your own view if you would rather not be spoiled.
- A guest can't be mentioned. Typing
@suggests workspace members only. You are still notified of replies in threads you commented in. - Your name may not show to others. Names come from the workspace's member list, so a guest's comments, reactions and questionnaire answers are shown to other people under "Former member", and a guest's suggestions under "Someone".
- Questionnaire answers are not anonymous to the people who can edit the project, and you see only your own.
- A commenter can't suggest. Suggesting mode needs edit access. Say what you would change in a comment.
- Canvases, timelines and dialogues have no comments.
- You can't remove yourself. A guest can't leave a project and a member can't leave a workspace: ask an owner or admin.
- When access is taken away, it ends on your next request, and a note you have open stops updating within ten minutes.
- Your account. There is no password reset and no way to change your name or email address, so sign up with the address the invitation went to and keep the password safe. You can have a workspace of your own at the same time.
