Workspace owners
For the person who owns or administers a workspace: members and roles, sharing projects, the plan and its limits, the AI switch, getting data out, and what happens when access is removed.
A workspace is where projects live and where the people you write with are gathered. If you created it, you are its owner: you decide who is in it, who may see which project, whether AI is allowed, and what plan it is on. An admin does the same except for the plan. This page is the route through those jobs. None of them takes long, and most are done once.

Set up
- Name the workspace. A new account is asked "First, name your workspace." Its address is made from the name. To add another later, click the workspace's name on its home page and choose New workspace. See Workspaces.
- Open the settings. Settings on the workspace's home page has up to three tabs: Members & invites, AI and Plan & billing. Members can't open them.
- Invite people. Under Invite people, enter an address, pick Member or Admin and press Send invite.
- Decide about AI. The AI tab has one switch, Allow AI in this workspace. It is off until you turn it on.
- Look at the plan. Plan & billing shows the plan and four meters: Projects, Storage, Members and, on Pro, AI credits this month.

Typical workflow
- Choose between a member and a guest. A member can open and edit every project in the workspace. Someone who should see one project only, or only read or comment, is not invited: share that project with them as Editor, Commenter or Viewer.
- Add a second owner. Only an owner can make someone an owner, and a workspace can have several. Nobody can change their own role, so a workspace with one owner has nobody who can take over billing.
- Share projects. In a project, click Share project… at the top of the binder. The same dialog lists everyone with access, changes roles, removes people and holds the read-only link.
- Watch the meters. A meter turns red when it is full. A full workspace can't add more of that thing; nothing is deleted and nothing becomes read-only.
- Upgrade when a limit is in the way. Under Upgrade to Pro, press $96 a year or $10 a month and pay on the checkout page. The workspace is on Pro at once. See Upgrading.
- Turn AI on where it is wanted. After the workspace switch, each project has its own under Project settings → Modules → AI agent. See Turning it on.
- Remove people who leave. Click the button at the end of their row and confirm. Remove any review rule that names them, since nobody can give that approval any more.
- Export what matters. Take a copy of each project from time to time. See below.

Getting your data out
Export is done one project at a time, and no limit ever blocks it. In a project, choose New… → Export project….

The zip keeps the text, the structure, titles, tags and links. It does not keep properties, statuses, canon and reveal tags, comments, version history, canvases, timelines, dialogues, or uploaded images and files. See Out and back in. There is no single export of a whole workspace.
When access is removed

What stays behind: everything the person wrote, and their comments, which are shown under the name "Former member". What they exported while they had access is theirs to keep: every role, the viewer included, can export.

Things to know
- The plan belongs to the workspace. Each workspace has its own, and a new one starts on Free. Nobody pays per seat.
- Only an owner can manage billing. An admin sees the plan and "Only an owner of the workspace can change its plan."
- Open invitations count as members until they are accepted, cancelled or expire after 48 hours.
- A viewer reads everything and can export it. Share a project only with people you would hand the file to.
- The read-only link shows everything, unrevealed notes and passages tagged Never included. Treat it like a public page.
- A workspace can't be renamed or deleted, and a project can't be deleted or archived. On Free, the two ways past 10 projects are another workspace or Pro.
- Nobody can remove themselves. A member who wants to leave asks an owner or admin.
- With AI on, a collaborator who can edit can run the agent on their own key, and the notes it reads then go to their provider. Leave the project's switch off if you don't want that.
- Hosted AI credits are shared by everyone in a Pro workspace, reset monthly and don't roll over. Runs on a person's own key use none.
- Going back to Free deletes nothing. The workspace keeps every project, file and version, and only can't add beyond the Free limits. A first payment is refunded in full within 14 days.
- Version snapshots use storage. Each note keeps its latest 40 automatic versions, named versions are kept until deleted, and a release that is cut snapshots every note.
